Each supplier keeps inventory in a Google Sheet built from our template. About once an hour the platform reads the sheet, validates every row against fixed rules, and updates its own records. The sheet is the supplier's statement of what they have; the platform database is the record of what has been reserved, ordered or sold here.
Validation and quarantine
Rows with missing or contradictory data, such as a negative price, an unknown treatment value or a photo link that does not resolve, are quarantined. They are reported to the supplier with the field and the reason, and nothing about them is published. An existing listing keeps its last good data until the row is fixed.
Missing rows
If a row disappears from a sheet, the platform does not delete the listing or assume it was sold. It marks the source as missing and withdraws the listing only after several consecutive successful syncs still do not show it, or an operator reviews it.
Two kinds of availability
Supplier availability is what the sheet says: AVAILABLE, ON_HOLD, SOLD or WITHDRAWN, refreshed hourly. Platform availability adds reservations and orders made here in real time. A stone reserved here at 10:05 is unavailable at 10:05 even though the sheet will still say AVAILABLE until the supplier updates it. The sheet never overrides a hold, order or sale recorded on the platform.
